Managing User Access Privileges

Each application such as Record and Calibrate manage their own user database. This is provides eachapplication with their own application specific access levels. Although the user may be using several different applications, Inventory manages the user logons in the background so the user only needs to log on once.

To modify user access privileges select 'Access Privileges' from the 'Server' menu on the Server Log screen to open the Users window that displays the default 'Administrator' user and lists all other users of the system.


Use the 'User Name', 'Email' and 'Access' buttons at the base of the window to search for a user by User Name, Email Address or Access Level respectively, or click 'Search' to perform an advanced multi criteria search. The list of users can be sorted by clicking on the headings at top of each column.

To create a new user click 'New'. Enter the user's details into the fields provided (fields shown in red are mandatory), select an Access Level and use the tick boxes to select which functions will be accessible when they are using the system. Users may be restricted to using a particular PC by entering the PC's IP address in the box provided.


Once a user account has been set up it can be disabled/enabled using the 'Account Enabled' checkbox.

To modify an existing user's details double click on their User Name in the list. To delete a user click on their User Name in the list and click 'Delete'.

Note: Each application will feature Inventory specific access levels. In the case where Inventory is being used with more than one application only the Inventory privileges on the master copy of Inventory are used.

Access Levels
Access levels for each application are as follows:

Inventory™
Edit Worldwide - create and edit areas in the worldwide database (only applicable for multi sites)
Edit System - create and edit sites in the world wide database (only applicable for multi sites, although this will allow the default site to be editted in the single site application.
Move Equipment - Move equipment from one place to another within Inventory

Record™
Add Log Entry - Make log book entries
Delete Log Entries - Delete log book entries.

Note: Anyone with access to Record™ can view the log book.

Calibrate™

Setup Calibrations - Setup templates to be used
Perform Calibration - Carry out the setup calibration
Skip Calibrations - Mark a calibration as being skipped and proceed to the next one
